This page provides information on how invoices are processed.   


Payment Plus

Payment Plus is one of the payment methods used by many UC Davis suppliers.  This payment method expedites payments to suppliers, while reducing the amount of administrative overhead required by UC Davis. 

  1. After final approval of payment, UC Davis notifies U.S. Bank that the disbursement is authorized.
  2. The supplier receives an email from U.S. Bank with the credentials and a link to the Payment Plus website.
  3. The supplier logs in and retrieves a one-time credit card pre-authorized for any invoices included in the current remittance.
  4. The supplier processes the credit card for the amount due, using their point-of-sale system.
  5. U.S. Bank bills UC Davis for the prior day’s transactions through a daily batch job, and payment is remitted to U.S. Bank via Direct Debit.

Paymode-X

Another option available to suppliers is Paymode-X.  UC Davis has partnered with Paymode-X to transition away from paper checks and to electronic payments.


Electronic Invoicing ("e-Invoicing")

Our system of e-Invoicing minimizes manual invoice entry and significantly expedites the AP payment process.

The university utilizes a system called Transcepta (retiring 12/31/23) that provides a pre-screening for invoices before they are entered into the financial system. This means less errors for our UC Davis staff to remedy and reduces the number of invoices that require manual scanning/data entry by approximately 30,000!

No new suppliers are being accepted for Transcepta, as that program will end as of 12/31/23 for the new Oracle Intelligent Document Recognition (IDR) system coming in January 2024. Also, see the instructions for suppliers.
